Going Paperless (Plus, Star Wars and Kittens)

How many of us have read this article before?  The one that says to truly go paperless you need the right MFP, the right infrastructure and the best software?

Of course, this is all true, but the real issue is the notion of a “paperless society.”  Don’t get me wrong, far as I can remember, I don’t recall seeing any copiers duplexing efficiency reports while Luke Skywalker rescued Princess Leia in the Death Star. (And before you get started, I know that it was “a long time ago, in a galaxy far, far away”.)  But, that doesn’t mean we won’t be budgeting for printing in 10, 15 and even 20 years from now.

The key is compromise.  The solution is value.  While we will never truly eliminate paper, that doesn’t mean that we can’t responsibly and ethically implement new features to save businesses money and aid in creating more efficient organizations.

One of our most effective solutions has been Ricoh’s PCS Director.  It’s impossible to sum up everything this solution does in a short post, but PCS Director allows you to monitor all printing, copying, scanning and faxing activity in a simple interface.  Furthermore, the software specializes in handling charge-backs and controls who is printing, how much is being printed and identifies the cost of printing across the entire organization.

Why is this so great?  Allow me to tell you a story.  Years ago, I worked with a very strange, sweet woman, let’s call her Jane.  Jane had cats.  Lots of cats…and Jane loved her cats.   She loved those cats so much that her cubicle was covered in a thick underbrush of photo-kitten cuteness.  What we came to find out (some-time later) was that every day, Jane had her husband email her a new cat photograph.  That means that everyday Jane was using her local laser-printer to produce a collection of feline photos the size of a small forest.

Richoh’s PCS director allows you to asses who is printing and how much it costs.  Suddenly, Jane’s cat photos are re-directed to the most efficient devices.  The software can even notify Jane (via a custom pop-up message) of the print job’s cost or let Jane know that cat-photo printing has become an “off-site” activity.

Again, just like Paper v. Paperless it’s all about managing the best compromise.  Life is hard enough as it is, and that is why we are here.  We are dedicated to solutions and efficiency.  It is that simple.
